How To: Edit Bibliographic and Holding Records with Genre Tags

Introduction

Some things to know before we start. These are the "things" you will be working with, so definitions of WHAT they are is important.
Circulation Module: how we keep "track" of books loaned and returned.
Bibliographic Record: data about a book; when you search for a book in our system online, it uses the data from what's called a MARC Record, also known as a bibliographic record. Basically, its information to identify the book, much like a new driver's license holds information on who you are. Think of a biblographic record as a book's "license".
Holding Record: data about where a book is located; it contains much of the bibliographic information, as well as a barcode, so when we scan it, we can find it! The holding record is what "keeps track" of where an item is. When we check it out, we flag the holding record, and unflag it when the item is returned. Think of the holding record as a GPS tracking device. It let's us know where the book is--whether it be here in the library, or out on the mean streets.

These instructions will aid you in using Beaver's cloud-based catalog and circulation system for books. Remember! You can do any of this work from any laptop with a browser. It's that simple! (I hope...) Do not be afraid to click away. You can't break the system. You will do most work in the Circulation Module, which you must log into. Purging Records from the system is completed in the Cataloging Module. These are the only two aspects of the cataloging system you need to concern yourself with. Let's familiarize you with them, shall we?

Signing in to Mandarin

Select the Sign In link, located in the top right corner of the page


login name / barcode: admin
password: boca raton (note: YOU MUST INCLUDE THE SPACE!)







Using the Circulation Module

You use the Circulation Module to:
Edit Bibliographic and Holding Records
Purge Records from the system (if we are saying goodbye to an item and recycling it!)

To access the circulation module (where you will edit book records), 
select the Circulation Tab


Note: You are in the Circulation Module, your screen looks like this ---->  







Editing a Bibliographic Record

Select the Status Tab (at left in the Circulation Module) 





Click your cursor into the Barcode box 
Scan the book with the scanner tool 






A record will appear at right in the Item box
You will notice a set of functions in that Item Box
Hover your mouse over the third function, which is Edit Bibliographic Record and looks like this: 

You now have access to the item's "information" and can make changes to the record.

What will you edit?
GENRE TAGS in the Call Number field, known in MARC format as the 852 field.









In the 852 K field, add the genre tag.
Click Save, located at bottom.

The genre tags are:
YA - young adult 
FAN - fantasy 
HOR - horror 
ROM - romance
SPO - sports
ADV - adventure
MYS - mystery
SCI - science fiction
HIS - historical

Note: There is no genre tag for standard adult fiction. Do not adjust these records.

Editing a Holding Record

A record will appear at right in the Item box
You will notice a set of functions in that Item Box
Hover your mouse over the third function, which is Edit Bibliographic Record and looks like this: 

You now have access to the item's "information" and can make changes to the record.







In the 852a or k field, add the genre tag.
Click Save, located at bottom.

The genre tags are:

ROM - romance
SPO - sports
ADV - adventure
MYS - mystery
SCI - science fiction
HIS - historical

Note: There is no genre tag for standard adult fiction. Do not adjust these records.
